How to Get Reimbursed by Step Up For Students Without a Denial
By My Learning Source · August 24, 2026 · Scholarships, Tips
Reimbursement is the spending route with the widest choice of vendors — and the one where families lose money to preventable mistakes. Almost every denial traces back to documentation, and the rules are knowable in advance.
What every receipt must show
- A complete date — month, day and year. A receipt reading only "March 14" is not enough.
- Itemized amounts — item price, subtotal, tax, fees, any discount, and the total.
- Proof you actually paid — a receipt, or an invoice clearly marked paid in full. A quote or order confirmation doesn't qualify.
- The payment method, visible on the document.
Purchases that can never be reimbursed
- Cash purchases from private sellers — secondhand curriculum bought with cash has no acceptable proof of payment.
- Handwritten notes or informal documents.
- Anything another source already paid for — insurance, an HSA, or another program.
- The unpaid balance of a buy-now-pay-later plan: you're reimbursed only for what you had actually paid when you submitted.
- Items shipped outside Florida (buy from anywhere, but ship to a Florida address).
Understand the clock
Reviews can take up to 60 days once Step Up has everything it needs. If your request is put on hold for a missing document, the 60-day clock restarts — and if you don't supply requested documents within 30 days, the request is automatically denied. A complete first submission isn't just tidier; it's weeks faster.
The one-appeal rule
A denied request gets exactly one appeal, and it must be filed inside your EMA account — appeals sent by email or through general customer service are not reviewed. Once decided, that item is closed for good. Put your full case into the one attempt you get.
Action items
- Photograph every receipt the day you get it, into one folder per student per year.
- Before submitting, run the four-point receipt check above.
- Calendar a 30-day follow-up on every submission so an on-hold request never auto-denies.
- When an item is identical to one in MyScholarShop, compare prices — pay less out of pocket and you must still be made whole.
